Prepare a better buying brief

In this guide

  1. Start with the customers you can serve
  2. Build a SKU-level buying brief
  3. Plan volume and cash requirements
  4. Match the product version to the sales market
  5. Agree the delivery responsibilities
  6. Create a repeat-order record

01 / Procurement guide

Start with the customers you can serve

A beverage distribution plan should begin with the receiving businesses, not a large unspecific product order. Decide whether you will serve independent shops, grocery wholesalers, hospitality businesses or vending operators. Record the pack sizes and product lines those customers actually request. A brand that suits one channel may be unsuitable for another pack, margin or storage model.

02 / Procurement guide

Build a SKU-level buying brief

List the exact brand, variant, container size, outer-pack configuration and label version. Separate regular and no-sugar requests, still and sparkling water, and juice and fruit-drink lines. Ask for the offered barcode and pack details before committing to a customer listing. Product names alone do not define a shipment.

03 / Procurement guide

Plan volume and cash requirements

Start with an order that fits your customer commitments and receiving capacity. WOOVE’s minimum energy drink order is two pallets; other product minimums are confirmed by quotation. Request the product price and freight scope together. Include receiving costs, any destination charges, storage and onward distribution in your business calculation. Do not assume a particular margin or guaranteed sell-through.

04 / Procurement guide

Match the product version to the sales market

Specify required label languages and packaging requirements for the destination. Arabic, French, Dutch and other versions can be requested for selected products, but availability is SKU-specific. A label option does not by itself settle every requirement of a resale market. Check the actual product details before accepting an offer.

05 / Procurement guide

Agree the delivery responsibilities

For Europe and the UK, request DDP or DAP with the named delivery place. Where import applies, confirm responsibilities and destination-charge scope in writing. Provide receiving hours, appointment rules and unloading details. WOOVE’s headquarters are in Ukraine and every product shipment is dispatched from Germany.

06 / Procurement guide

Create a repeat-order record

Keep the accepted quotation, confirmed SKU specification, delivery documents and any receiving notes together. For replenishment, quote the same specification and confirm current availability rather than assuming the next batch is identical. Review customer demand and stock rotation before adjusting order volumes.

Put the distribution plan into a product schedule

Use our energy drink distribution guide to plan onward case supply and receiving requirements. Before choosing an offered batch, review the energy drink supplier checklist and keep each SKU, label version and pack quantity separate.
